Refund Policy

 

Refunds & Cancellation Policy

1. Minimum Subscription Term

All Qinected service plans are subject to a minimum 12-month subscription.

Your 12-month term begins on the date your service is activated or the date stated on your invoice.

2. Cancellation During the Initial 12 Months

If you choose to cancel your subscription before the end of the initial 12-month term, an early termination fee will apply.

Early Termination Fee

You will be charged 50% of the remaining subscription value for the months left in your 12-month term.

Example:
If you have 6 months remaining and your monthly fee is £1,000:
Early termination cost = £1,000 × 6 × 50% = £3,000

This fee exists because your dashboards, model setup, automation and hosting incur fixed costs throughout the subscription period.

3. Renewal After 12 Months

After your initial 12-month term is complete, your subscription will:

→ Automatically renew for another 12 months

unless cancelled in accordance with the notice period.

Price Changes on Renewal

Renewal pricing may change, and you will be notified if so.
Updated pricing will take effect at the start of your next subscription year.

4. Cancellation Before Renewal

To prevent automatic renewal, you must provide written notice:

At least 30 days before the renewal date

to avoid entering a new 12-month contract.

If notice is received less than 30 days before renewal, the renewal will proceed and the new 12-month term will begin.

5. Refund Policy

Setup Fees

The one-off setup fee is non-refundable, as it covers completed project work, modelling, automation configuration, and dashboard creation.

Monthly Fees

Monthly subscription fees already paid are non-refundable, even if you stop using the service.

Unused time in a billing cycle cannot be refunded or credited.

Exceptions

Refunds may be considered only if:

  • A proven billing error occurred
     
  • Services were not delivered due to an error on our part
     

Refund requests are assessed case-by-case.

6. Suspension for Non-Payment

If invoices remain unpaid:

  • Dashboard access may be suspended
     
  • Services may be terminated
     
  • Outstanding amounts (including termination fees) will remain payable

Data Processing Agreement (DPA)

 

Data Processing Agreement (DPA)

This Data Processing Agreement (“Agreement”, “DPA”) forms part of the terms between Qinected (“Processor”) and the client (“Controller”) for the provision of analytics, reporting, and dashboard services.

1. Definitions

  • “Controller”: The organisation that determines the purposes and means of processing personal data.
     
  • “Processor”: Qinected, which processes personal data on behalf of the Controller.
     
  • “Personal Data”: Any information relating to an identifiable individual.
     
  • “Processing”: Any operation performed on personal data, such as collecting, storing, analysing, or deleting.
     
  • “UK GDPR”: The UK General Data Protection Regulation.
     
  • “Sub-processor”: A third party engaged by the Processor to carry out specific processing activities.
     

2. Subject Matter of Processing

Qinected processes data uploaded by the Controller for the purpose of:

  • Providing automated Power BI dashboards
     
  • Hosting and refreshing analytical models
     
  • Supporting, maintaining, and improving the Controller’s reporting environment
     

Qinected processes only the data necessary to deliver these services.

3. Duration of Processing

Processing begins when the Controller begins using the service and continues until:

  • The contract ends, and
     
  • All data is returned or deleted at the Controller’s request
     

Unless required by law, Qinected will not retain data beyond the termination date.

4. Nature & Purpose of Processing

Processing activities include:

  • Storage
     
  • Organisation
     
  • Structuring
     
  • Calculation and analytics
     
  • Automation and refresh
     
  • Support and troubleshooting
     

The sole purpose of processing is to deliver the contracted analytics service.

5. Types of Personal Data Processed

Depending on the Controller’s uploaded data, this may include:

  • Employee names
     
  • Supplier or contractor names
     
  • Project-related information
     
  • Contact data
     
  • Performance or financial metrics
     

Qinected does not require or request sensitive personal data. The Controller agrees not to upload unnecessary data of this nature.

6. Categories of Data Subjects

Data subjects may include:

  • Employees
     
  • Contractors
     
  • Suppliers
     
  • Project stakeholders
     
  • Other individuals included in the Controller’s submitted data
     

7. Controller Responsibilities

The Controller agrees to:

  • Ensure all personal data provided is lawful and compliant
     
  • Provide data that is accurate and relevant
     
  • Maintain lawful basis for processing
     
  • Ensure individuals are informed
     

The Controller must not upload personal data unrelated to the service.

8. Processor Obligations (Qinected)

Qinected shall:

8.1 Process data only under documented instruction

We will not process, access, or use your data for any purpose other than delivering the service.

8.2 Maintain confidentiality

All personnel handling data are bound by confidentiality obligations.

8.3 Implement appropriate technical and organisational measures

Including:

  • Secure Microsoft cloud hosting
     
  • Encryption in transit and at rest (where supported)
     
  • Access control and authentication
     
  • Monitoring and auditing
     

8.4 Assist the Controller

With:

  • Responding to data subject requests
     
  • Breach notifications
     
  • Impact assessments (when required)
     

8.5 Notify of breaches

Qinected will notify the Controller without undue delay if we become aware of a personal data breach.

8.6 Return or delete data upon termination

All data will be deleted within a reasonable period after termination unless required by law to retain it.

9. Sub-processors

The Controller authorises Qinected to use sub-processors necessary to deliver the service, including:

  • Microsoft Power BI / Fabric (primary hosting and computation)
     
  • Cloud hosting, email, or support tools as required
     

Sub-processors are bound by equal or stronger data protection obligations.

A current list of sub-processors is available upon request.

10. International Transfers

If personal data is transferred outside the UK, Qinected ensures:

  • The destination country provides adequate protection, or
     
  • Standard Contractual Clauses (SCCs) are implemented
     

Microsoft’s global infrastructure complies with UK GDPR requirements.

11. Audit Rights

The Controller may request information demonstrating Qinected’s compliance.
Formal audits may be conducted with reasonable notice and within operational limits.

12. Liability

Qinected’s liability under this Agreement is limited according to the Terms & Conditions agreed between the parties.

The Controller remains responsible for:

  • The lawfulness of personal data provided
     
  • Ensuring no irrelevant or sensitive data is uploaded
     

13. Termination

Upon termination:

  • Qinected will stop processing data
     
  • Data will be deleted or returned upon written request
     
  • The Controller remains responsible for exporting any reports or dashboards before service ends

Service Agreement

 

SERVICE AGREEMENT

Between:
Qinected (“Service Provider”)
and
Client (“Client”)

1. Introduction

This Service Agreement (“Agreement”) sets out the terms under which Qinected will provide analytics, reporting, automation and Power BI services to the Client.

By signing or accepting this Agreement, the Client agrees to these terms.

2. Services Provided

Qinected will deliver the following services (“Services”):

  • Creation and configuration of a customised Power BI data model
     
  • Supply of standardised project reporting templates
     
  • Development of dashboards (Actuals, Forecast, PO, Accruals, Risks, Performance, etc.)
     
  • Hosting using Microsoft Fabric
     
  • Automated data refresh pipelines
     
  • AI-assisted insights and report generation (where available)
     
  • Ongoing monitoring, maintenance and support
     
  • Minor dashboard adjustments included each month
     

A detailed scope of work may be included as Schedule A.

3. Service Activation

Services begin on the Activation Date, defined as the later of:

  • The date the Client receives access to their workspace, or
     
  • The date both parties confirm project commencement
     

Setup work may begin earlier.

4. Minimum Term & Renewal

4.1 Minimum Term

The subscription has a minimum 12-month term (“Initial Term”).

4.2 Automatic Renewal

After the Initial Term, the Agreement automatically renews for further 12-month terms (“Renewal Terms”).

4.3 Price Adjustments at Renewal

Subscription fees may change on renewal.
The Client will be informed before the renewal date.

4.4 Cancelling Renewal

To prevent renewal, the Client must provide written notice at least 30 days before the renewal date.

5. Fees & Payments

5.1 Setup Fee (One-Off)

A one-off fee is payable before setup begins.
Once work has commenced, the setup fee is non-refundable.

5.2 Monthly Subscription

The Client shall pay the monthly subscription fee as specified in their proposal or invoice.

5.3 Additional Work

Work outside the agreed scope (e.g., new dashboards, new metrics, model adjustments) will be quoted separately.

5.4 Early Termination Fee

If the Client cancels during the Initial Term or any Renewal Term:

The Client must pay 50% of the remaining subscription fees for the months left in that term.

5.5 Payment Terms

Invoices are payable within 14 days unless otherwise stated.

5.6 Late Payments

Qinected may suspend services if payments are overdue.

6. Client Responsibilities

The Client agrees to:

  • Provide accurate and complete data
     
  • Use only Qinected’s approved templates
     
  • Ensure authorised access only
     
  • Maintain their own internal security policies
     
  • Not modify or reverse-engineer Qinected’s dashboards, templates, or data models for resale or distribution
     

The Client is solely responsible for the accuracy of the data uploaded.

7. Data Ownership & Protection

7.1 Ownership

All data uploaded by the Client remains the Client’s property.

7.2 Role of Qinected

Qinected acts as a Data Processor.
Processing is governed by the Data Processing Agreement (DPA) included as Schedule B.

7.3 Data Hosting

Data is processed and stored using Microsoft Fabric and Power BI under enterprise-grade security.

8. Intellectual Property

All dashboards, templates, models, scripts, and configurations created by Qinected remain Qinected’s intellectual property, unless otherwise agreed in writing.

The Client receives a non-exclusive licence to use the dashboards internally during the subscription period.

The Client may not:

  • Resell
     
  • Distribute
     
  • Copy
     
  • Create competing products from
     
  • Share Qinected’s deliverables
     

without written permission.

9. Service Levels

Qinected aims to maintain high availability; however:

  • No guarantee is given regarding uptime of Microsoft Fabric/Power BI
     
  • Outages caused by Microsoft or third parties are not Qinected’s responsibility
     
  • Qinected will make reasonable efforts to resolve issues promptly
     

Support requests are handled during business hours unless a separate SLA is agreed.

10. Confidentiality

Both parties agree to:

  • Keep all business and technical information confidential
     
  • Not disclose such information to any third party
     
  • Use confidential information only for the purpose of delivering or receiving the services
     

This obligation survives termination.

11. Liability

To the fullest extent permitted by law:

  • Qinected is not liable for inaccuracies caused by Client data
     
  • Qinected is not responsible for business decisions made using the dashboards
     
  • Qinected is not liable for indirect or consequential damages
     

Qinected’s total liability is limited to the total fees paid by the Client in the previous 12 months.

12. Termination

Either party may terminate if:

  • The other party commits a material breach and fails to remedy it within 30 days
     
  • The Client fails to pay fees
     

Upon termination:

  • Access to dashboards may be revoked
     
  • All outstanding fees become immediately due
     
  • The Client may request deletion of their data
     

Early termination fees apply as outlined in Section 5.4.

13. Governing Law

This Agreement is governed by the laws of England and Wales.
Any disputes will be handled exclusively in UK courts.

14. Entire Agreement

This document, together with the attached schedules, constitutes the entire agreement between the parties.

SCHEDULE C — Pricing

Setup Fee:

£1,750 – £3,500 depending on requirements.

Monthly Subscription:

£750 – £1,500 depending on complexity and volume.

Additional Work:

  • New dashboards: £300–£800
     
  • New KPIs: £100–£300
     
  • Model changes: £500–£1,500
     
  • Urgent work: +25–100%
